Resolving a Failed Account Migration and Restoring Device Functionality

The Situation

A user had been experiencing email and sync issues on their computer for some time but never submitted a support ticket. When a device request was submitted on their behalf, those underlying issues escalated. The user’s account appeared to be active, but automated responses claimed otherwise. These conflicting signals raised concerns just as a new device was being prepared for deployment.


How LRA Stepped In

An LRA project management consultant was assigned to manage the device deployment. Upon contacting the user to schedule setup, the consultant received an out-of-office message stating the user was no longer with the organization. This conflicted with the recent device request submitted by the user’s supervisor. To clarify the situation, the consultant reached out to the supervisor, who confirmed the user was indeed still active.


Believing it to be a technical error, the LRA consultant moved forward with the scheduled appointment. During the login process, an unfamiliar error appeared, stating the account had an incorrect license. This signaled a deeper issue beyond standard setup.


The Breakthrough

The LRA consultant escorted the user to the IT help desk for further investigation. It was discovered that the user’s account had not been properly migrated from a previous department, which explained both the email issues and the limited access to applications like Teams and Word.


The help desk team coordinated with the previous department’s admin staff to reset the account and restart the migration process. Because this fix would take several days, the device setup was paused. In the meantime, the LRA consultant monitored the account status and waited for the automatic email response to clear.


Once the system confirmed that the account had been properly updated, the consultant re-engaged the user for setup.


The Outcome

The device was successfully configured, and the user gained full access to email, Teams, and all required Microsoft 365 tools. The migration issue was resolved, and the user’s digital environment was restored to full functionality.


What It Means

This case illustrates the importance of proactive project management during routine deployments. By staying alert to small red flags and coordinating across departments, the LRA consultant helped uncover and resolve a larger system issue.
